Why visa portals reject your PDF

  • Phone scans at full resolution — bank statements and passport pages exceed 5 MB each.
  • Merged packet too large — correct documents but combined over cap.
  • Blurry stamps after over-compression — bank seal illegible → manual review delay.
  • Wrong slot — combined PDF uploaded where portal expects one document per field.

Merge first, then compress once

When the portal accepts one combined PDF:

  1. Gather documents in embassy checklist order (application form, passport bio, photos, bank statements, insurance, itinerary…).
  2. Merge visa documents in exact sequence.
  3. Run one Recommended compression pass on the merged file — avoids double lossy encoding on individual docs.
  4. Verify passport MRZ, bank balances, and stamp clarity at 100% zoom.

When the portal has separate upload fields — one PDF per slot, compress each to 500 KB–2 MB. Compress before or after merge.

Scan settings for visa documents

  • 200–300 dpi grayscale for bank statements and utility bills
  • Colour only when required — passport bio page, coloured visa stickers
  • Crop margins in scan app — fewer pixels, smaller file
  • Straight alignment — skewed scans OCR poorly and re-scan waste bytes

  • Less — bank stamps, notarised affidavits, passport pages with fine security print
  • Recommended — default for merged packs and multi-page statements
  • Extreme — only when portal still rejects; re-read every account number and date

Keep an uncompressed original on disk for the visa interview — officers may ask to see crisp copies.

Document-specific tips

Bank statements (3–6 months)

Digital PDF downloads from your bank are smallest. Scan only if the embassy requires stamped paper copies. Compress merged statements as one file if portal allows.

Travel insurance

Single-page certificate — usually under 1 MB without compression. Phone photo scans need Recommended pass.

Employment letter

Digital letterhead PDF from employer — rarely needs compression. Scan of signed letter: 200 dpi grayscale.

Invitation letter / sponsorship

Merge with sponsor's financial docs only if checklist groups them. Otherwise separate slots.
