Why Outlook blocks PDFs that Gmail accepts

Three scenarios explain the mismatch:

  • Exchange transport rules. Your IT team may cap outbound attachments at 10 MB even though Microsoft's platform allows more.
  • Recipient gateway stricter than sender. You send successfully from Outlook; the recipient's Proofpoint or Mimecast filter rejects delivery silently.
  • OneDrive auto-conversion. Outlook may replace large attachments with OneDrive links — external clients without Microsoft accounts cannot access them, making it look like "the PDF was blocked."

Fix: compress the PDF to a size both sender and recipient gateways accept, then attach directly — do not rely on auto-generated cloud links for external recipients.

Step-by-step: compress a PDF for Outlook

  1. Confirm your limit. Ask IT for the Exchange transport cap, or test with the PDF size checker. When unknown, target 10 MB.

  3. Choose Recommended compression. For strict 10 MB gateways, follow with Extreme if the size report still shows over target.

OneDrive and SharePoint large-attachment workflow

Microsoft 365 offers Large File Share — Outlook uploads oversized files to OneDrive and inserts a link. This works well for internal colleagues on the same tenant. For external clients:
